A quote should make the proposed price easy to verify. Identify the seller and customer, assign a unique quote number, and list every included product or service with its quantity and unit price.
A validity date protects both parties when material costs or availability can change. State taxes, discounts, deposits, delivery conditions and acceptance requirements before the customer agrees.
Keep the accepted quote as the commercial record for the agreed scope and price. When you deliver the work or reach the agreed billing point, issue an invoice with its own invoice number and payment due date.
If the customer requests a material change, document the revised scope and price before continuing. This reduces disputes and makes the final invoice easier to reconcile with the accepted quote.
