How it works

How to create an estimate online

  1. Add business and client details

Enter who is providing the work and who will receive the estimate.

  2. List the proposed work

Add each service or material with its quantity and unit price.

  3. Review pricing and terms

Set tax, discount, deposit, validity date and project terms, then verify the calculated total.

  4. Print or save the estimate

Open the browser print dialog to print the estimate or select Save as PDF.

What should a professional estimate include?

A useful estimate identifies the business and client, describes the proposed work, and shows how the expected price was calculated. Each line should use a specific description so the client can understand what is included before approving the job.

Add an estimate number, issue date and validity date so both parties can refer to the same version. State whether tax, materials, travel, deposits or possible scope changes affect the final invoice.

  • Business and client contact details
  • Unique estimate number and validity date
  • Itemized services, quantities and prices
  • Tax, discount, deposit and estimated balance
  • Scope assumptions, exclusions and approval terms

An estimate is not the final invoice

An estimate is a good-faith projection based on the information available before work starts. It helps a client decide whether to proceed, but the final amount can change when the scope, quantities or approved extras change.

After the client accepts the work, keep the approved estimate and create an invoice that reflects the services actually delivered. Clearly document any agreed change instead of silently replacing the original amount.

  • Use an estimate before the work is approved
  • Use an invoice when payment is due
  • Record approved changes in writing
  • Keep estimate and invoice numbers separate

Frequently asked questions

Questions about the estimate tool

Is this estimate generator free?

Yes. You can enter estimate details, calculate totals and open the print dialog without creating an account or entering payment information.

Does the tool download a PDF directly?

The tool opens your browser's print dialog. Choose Save as PDF to create a PDF file, or choose a printer to print a paper copy.

Is an estimate legally binding?

That depends on its wording, acceptance process and local law. An estimate normally describes expected work and pricing; use a signed contract when you need binding project terms.

What is the difference between an estimate and a quote?

An estimate is usually an approximate cost that may change with the scope. A quote is commonly presented as a more definite price for clearly specified work during a stated period.
