Free cash receipt templates

Give the payer a clear record of the cash you have received. Start with the general receipt file, set the payment method to Cash and identify the sale or invoice the payment relates to.

A cash receipt acknowledges cash actually received. An invoice requests payment. If the customer has paid only part of an invoice, the receipt should show that payment and the balance separately.

Use the file format that suits the job

The Word file is useful for editing the wording and layout. The Excel file provides calculated amounts; check the inputs and formulas after editing. The fillable PDF lets you complete the provided fields without redesigning the document.

These downloads use the general receipt layout. For a document headed specifically as a cash receipt, the online cash receipt generator provides that document type. Downloading the files does not require a Pocket Invoice account.

Include enough information to identify the cash payment

  • Your business name and contact details, and the payer’s name.
  • A unique receipt number and the date the cash was received.
  • The sale, service or invoice reference, with a short payment description.
  • The cash amount and currency, plus the payment method.
  • Any remaining balance and the person acknowledging receipt where appropriate.

If several invoices are covered by one payment, list how the amount is allocated. Do not record a card payment or an unreceived promise to pay as cash received.

Example: receiving a deposit in cash

Suppose a customer owes $500 and pays a $150 cash deposit. The cash receipt acknowledges $150, references the $500 invoice and records $350 remaining. A later $350 payment has its own payment date and receipt record. Do not issue a receipt saying the full $500 was received at the first payment.

Keep the receipt with the related invoice and cash records. Bank reconciliation helps explain why depositing cash later is a separate event from receiving it.

Does a cash memo replace an invoice?

“Cash memo” commonly describes a cash-sale record, but the name alone does not establish that it is a compliant tax invoice. Where a prescribed invoice, fiscal receipt or tax document is required, use the applicable format and information. This editable receipt records payment; it does not issue a government tax invoice.
