Recurring, deep and move-out cleaning

Show the customer which rooms and tasks the price covers. Record the first visit, recurring frequency, products, access and optional extras before confirming the service.

A cleaning estimate describes proposed tasks and expected cost. Include the service address, areas, frequency, billing unit, extras and exclusions. Floor area alone does not tell the customer whether ovens, cabinets or windows are included.

Describe the visit the customer is buying

State whether the work is recurring maintenance, a deep clean or a move-out visit. List rooms and surfaces, expected condition and whether the property will be empty. Clarify who provides products and equipment.

Include the actual checklist: for example, reachable surfaces, kitchen exterior surfaces, bathroom tasks and floors. Name appliance interiors, cabinet interiors, external glass, carpet treatment and waste removal separately when offered. Access or specialist work needs its own agreement.

For recurring work, record the frequency and separate any first deep-clean charge. Do not describe a monthly price without explaining the number or dates of included visits.

Make the billing unit obvious

“Two hours” can mean two hours for the whole crew or two hours for each cleaner. State whether the rate is per person-hour, crew-hour, visit or measured area. Give an expected range or approval limit for hourly work when the final time is uncertain.

Confirm scope before the first visit

  1. Replace the business, customer and property information.
  2. List agreed tasks, units and optional extras.
  3. Check amounts, tax treatment, validity and payment arrangements.
  4. State exclusions, cancellations and how additional work is approved.
  5. Keep the accepted version, then record the actual services for billing.

When the quote is based on photographs, identify any condition that must be checked on arrival. A fixed scope price should not quietly become a different service.
